Dear Students,
We first would like to congratulate the students who have been found eligible as well as the students who have applied.
Please read all the explanations below carefully.
Students who have applied can also visit Turna Portal for detailed information on their application.
All the applications completed correctly before the deadline have been evaluated.
Students who submitted all the required documents have been listed based on their Erasmus score, which is calculated with 50% of the GPA and 50% of the language score, and placed in accordance with their university preference order and university quotas.
Our office has a grant budget of €290,800 for study mobility in the scope of the 2025 project. According to the monthly grant amounts announced by the Turkish National Agency for the Erasmus+ 2025 project period, in order to provide grant support to as many students as possible within the budget, a partial grant will be provided for the first 136 students based on the Erasmus placement score at the university.
Students who are entitled to receive a grant are indicated in green as "GRANTED/KABUL HİBELİ" and students who are entitled to participate in the program without a grant are indicated in orange as “NOT GRANTED/KABUL HİBESİZ” in the list.
Students whose applications were suitable but who could not be placed in a university due to the university quotas are indicated in blue as “SUBSTITUTE/YEDEK”.
Students who could not be placed in a university due to the university quotas (main or substitute list) are indicated in grey as “COULD NOT BE PLACED/KAZANAMADI”.
Important Note: The end date for the 2025-1-TR01-KA131-HED-000325188 project is July 31, 2027. Students who participate in mobility under this project must organize and submit their after mobility documents to our office by July 31, 2027.
The grant distribution method will be as follows for the students who are in the first 136:
· Students who are listed for only fall or only spring semester will receive a maximum of 3 months X 450 Euros or 3 months X 600 Euros, depending on the country’s grant category.
· Students who receive a letter of acceptance which has shorter duration of education than these durations, will receive grants for their education period. (Even the student does not physically stay for 90 days, it is mandatory to receive education for minimum 60 days)
· Students who choose fall and spring semesters (an academic year) and who are eligible for a grant will be allocated a grant for the duration of only one semester (3 months).
· If a student who is eligible for grant would like to cancel their Erasmus+ eligibility, the grant will be given to the student next on the list. In this case, the student will be informed by our Office via e-mail.
· Students who are granted will also receive travel support based on the distance calculator provided by the European Commission, depending on the distance to the country/city they are going to.
If a student who is placed would like to cancel their Erasmus+ mobility, the substitute student can be placed to that university. In this case, the student will be informed by our Office via e-mail and the student will be informed regarding the grant status.
· Students who are not listed among the first 136 students and listed as “NOT GRANTED” may participate in the program without receiving any grant. If a student is found eligible for a grant later, the student will be informed by our Office via e-mail.
· Students whose applications were suitable but who could not be placed in a university due to the university quotas are listed as “SUBSTITUTE” for the first possible university preference in which they can be placed in accordance with their university preference order and the language score of the university that they prefer. If an eligible student cancels their mobility, the substitute students will be contacted via e-mail. · Students who would like to cancel must submit their cancellation petition until 23.03.2026, 17.00 to erasmushelpdesk@bilgi.edu.tr.
IMPORTANT NOTE: 10 points will be deducted from the score in their next Erasmus+ applications of the students who cancel their mobility after this date without a valid excuse
· If you would like to submit any objections/submit an appeal about your results, you may send your objection petition to erasmushelpdesk@bilgi.edu.tr until 18.03.2026, 17.00. Objections will be evaluated, and students will be contacted regarding their results. As a result of objections, grant allocations or students' university placements may change.

Students who submitted all the required documents have been listed based on their Erasmus score, which is calculated with 50% of the GPA and 50% of the language score, and placed in accordance with their university preference order and university quotas.
The Erasmus Office has been provided with 281.000 Euros for grants in our 2023 Project budget for the Erasmus+ Student Mobility. In line with this budget, in order to provide grant for the maximum number of students, the first 156 students will be PARTIALLY GRANTED based on their Erasmus scores. Students who are entitled to receive a grant are indicated in green as "GRANTED" and students who are entitled to participate in the program without a grant are indicated in blue as “NOT GRANTED” in the list.
The granting method will be as follows for the students who are in the first 156:

- For undergraduate students, minimum GPA: 2.20/4.00; for graduate & PhD students, minimum GPA: 2.50/4.00 is required to apply to the Erasmus program.
- Students who would like to apply must have completed their first semester of their first year and they must apply while they are an actively-registered student at their home university. Graduated students cannot apply to the program.
- Applications are taken via era.bilgi.edu.trera.bilgi.edu.tr and erasmusbasvuru.ua.gov.tr as the application call is announced. All terms and conditions regarding the application procedure are announced in the application call of that particular year.
- A student in the higher education study cycle (undergraduate, graduate, PhD) can attend one or more Erasmus+ programs lasting a maximum of 12 months. For those students who previously took part in an Erasmus+ program within the same study cycle (undergraduate, postgraduate, PhD), 10 points are reduced from the total Erasmus score in the new application.
- Students who are accepted onto both the Erasmus+ Study and the Erasmus+ Traineeship programs within the same application period must select which application (Study or Traineeship) will have 10 points deducted from it. In this case, the student should sign a petition indicating his/her decision.
- The selected Erasmus+ Study Program must be a minimum of 3 months in duration. Mobility periods iesshorter than 3 months must be backed up by a report to prove that it is a case of force majeure. Otherwise, the Erasmus+ mobility of the student will be invalid.
- Students may extend/shorten their study period within the announced time period.
- The partner institution will not expect any academic tuition fees from the student. Academic fees include education, registration, examination, lab and library fees. However, the institution may request the same compensation payed by their own students, for costs associated with insurance, residence permit, transportation card, copy services, lab utensils etc.

Note: The United Kingdom has withdrawn from the Erasmus programme following its departure from the European Union. Therefore, please take this information into consideration when preparing your preference list.
- Any student who fails to sit the English Exam and does not notify the Erasmus Office will have 5 points deducted from their next Erasmus application.
- After the announcement of the placements and grant distributions, a deadline will be set for cancellations. If the student cancels his/her mobility after this deadline, -10 points will be deducted from their Erasmus grade in their next application.
- Students who are unable to attend the program for some reason, should inform the partner university and submit a cancellation letter to the Erasmus Office (this can be found on our website).
- Students who attend the Erasmus Program for a full year are also able to cancel their second exchange semester by submitting the cancellation letter before the deadlines.
- Students accepted to the Erasmus exchange programme pay their tuition fees to BİLGİ as usual and are exempt from tuition fees at the host institution. However, they are responsible for their own travel, living expenses, and personal costs during the exchange period.
- After the selection of BİLGİ Erasmus students, the Erasmus Office will notify the partner universities in Europe. The student will then apply to the host institution on their own. Students must meet the deadlines set by the partner university and complete all required documents specified by the host institution.
- Students must prepare a Learning Agreement in consultation with the Erasmus Coordinators of the relevant departments at both BİLGİ and the partner university in order to determine their study programme during the exchange period. Students participating in the mobility must be full-time students*. It is expected that students will follow a programme equivalent to 60 ECTS (European Credit Transfer and Accumulation System) for a full academic year, 30 ECTS for a semester in a two-semester academic year, and 20 ECTS for a semester in a three-semester academic year, in order to complete the studies required for their degree.
- A full-time student is a student who has not yet completed the credits required for their degree/diploma and is expected to have a course load equivalent to 30 ECTS credits per semester.
- After the application, the student will receive an Acceptance Letter from the International Office of the host university.
- The partner university will contact the exchange student to assist with the registration process.
- During their study period abroad, students are subject to the laws of the host country and the rules and regulations of the partner university.
- After the programme is completed, the partner university will issue the student a Certificate of Participation indicating the duration of their stay, as well as a Transcript of Records showing the courses taken and the grades obtained.
- In order to complete the credit and grade transfer process for all courses taken, both the Transcript of Records and the signed Credit Transfer Form must be submitted to both the Erasmus Office and the Faculty Secretariat.

- OLS Exam (It is recommended that our students take the OLS test before their departure. Students should log in to the system using their student email address. The Online Linguistic Support (OLS) is an online English test developed by the European Commission. It is recommended to have a B2 level or above.)
- GRANT AGREEMENT – This document will be prepared by the Erasmus Office of Bilgi University following the issuance of the visa. Signing the agreement is compulsory for all participants, regardless of whether they are benefiting from the mobility with or without a grant.
During the Mobility
In case you need to make any course changes during the mobility period, you must complete the 'During the Mobility – Exceptional Changes to the Learning Agreement' section and submit the fully signed version to the Erasmus Office.

The Bilgi Erasmus Office is responsible for the selection of Bilgi students who will participate in the Erasmus+ Programme. It is also obliged to submit an application to the Turkish National Agency for the grant funds to be allocated to students for the upcoming academic year.
The grant allocation criteria are determined by the BİLGİ Erasmus Commission, taking into account the budget allocated to our University. The Commission has adopted the principle of providing grants to the highest possible number of students, in line with the criteria outlined below. These criteria have been established in accordance with the rules set forth in the Turkish National Agency Handbook:
- Students who qualify for a grant are provided with partial financial support.
- Grant payments are made after the student obtains their visa and signs the grant agreement with the Erasmus Office. General information regarding the grant and the programme is included in this agreement.
- Students who are not allocated a grant may, upon request, participate in Erasmus mobility as zero-grant participants.

In order to contribute to students’ travel expenses, the distance between the point of departure and the location where the activity takes place must be calculated using the distance calculator provided by the European Commission. The travel grant should then be determined based on the table below.
The amount corresponding to the distance band in the table represents the round-trip grant; therefore, it should not be multiplied by two.

- Students are required to successfully complete at least two-thirds (2/3) of the total credits they have taken at the partner university. If this minimum academic requirement is not met, a refund of the grant may be requested or a deduction may be applied.
- If the document submitted by the student confirming their period of study at the host institution (certificate of attendance) indicates a shorter duration than the dates stated in the acceptance letter, the right to request a refund of the difference is reserved.
- Students participating in the mobility are required to sign an agreement with BİLGİ declaring that they accept the Erasmus grant conditions. If a student fails to fulfill all the conditions set out in the Mobility Agreement, they may be required to repay the Erasmus mobility grant to BİLGİ or accept a reduction in the grant.
- Except for official holidays, semester breaks, and vacation periods unrelated to the student’s academic activities, if a student leaves the host city/country for more than one week, no grant payment will be made for the period of absence. Even if already paid, the grant corresponding to this period will be reclaimed.
- If the required documents are not submitted completely to the office after the mobility period, the remaining 20% of the grant will not be paid.
If a student returns earlier than the planned mobility period due to force majeure*, the grant will be calculated based on the actual duration of stay abroad and paid accordingly. If an excess payment has been made, the surplus amount will be reclaimed. As stated in the General Call for Proposals published by the European Commission, student mobility for studies must last a minimum of 2 months. This minimum duration cannot be reduced except in cases of force majeure. If the mobility duration is shorter than the minimum period, no grant payment will be made for the mobility.
*Force majeure refers to any exceptional and unforeseeable situation or event beyond the control of the parties, which is not attributable to error or negligence on the part of the parties, their subcontractors, affiliated entities, or third parties involved in the implementation, and which could not have been avoided despite exercising all due diligence. Failure to provide a service, defects in equipment or materials, or delays in making them available cannot be considered force majeure unless they directly result from a force majeure situation. Similarly, labor disputes, strikes, or financial difficulties shall not be regarded as force majeure.
Support will be provided for students and staff benefiting from mobility activities in higher education through the European Commission’s institutional learning management platform called “EU Academy.” This system will gradually offer language learning services in all 29 official languages of the EU Member States and countries associated with the Erasmus+ and ESC programmes.
For KA131 students and recent graduates, the requirement to take a language assessment test prior to the start of their mobility in order to determine their level has been abolished. However, although it is no longer mandatory, participants are expected to be encouraged to use the EU Academy platform.
VISA
- The student is responsible for obtaining the most up-to-date information regarding visa procedures, completing all required documents, and applying for any necessary visa and residence permits. The student shall apply for a student visa at the consulate or authorized visa service provider of the destination country. All related expenses shall be covered by the student.
- All documents related to the university are obtained by the student from the relevant units of the university. The only document that the Erasmus Office will provide to support your visa application is the visa grant letter. This document can be obtained provided that you submit to our office all required documents that must be completed before your departure to the host institution.
INSURANCE
- Students must have a comprehensive health insurance policy valid in the country where they plan to study. The insurance must cover both outpatient and inpatient treatment for the entire duration of the stay abroad, with a minimum coverage of 30,000 EUR, and must be arranged before leaving Türkiye. All costs related to the insurance policy are the responsibility of the student. Students are required to submit a copy of their full-coverage health insurance policy (inpatient and outpatient) to our office by the specified deadline.
ACCOMMODATION
- Students are required to contact the Erasmus Office of the host university regarding accommodation options (dormitory, apartment, etc.).
- The partner university is responsible for assisting students with accommodation, provided that the student complies with all relevant deadlines and requirements.
